School prom decorations: ballroom, photo backdrop and polonaise
Author: Magdalena RabaWielki Dzień, a wedding decoration studio in the Tri-City
We will prepare decorations for a school prom in a ballroom, hotel or restaurant in the Tri-City and throughout the Pomeranian Voivodeship: the entrance, tables, a class photo backdrop and dance-floor styling for the polonaise. You will receive a written proposal with a theme, an itemised list and a quote, so the prom committee can share it with parents and students before making a decision.
- A written proposal for the prom committee
- A proposal and quote within 24 hours
- Travel from Gdańsk listed separately in the quote
- We decorate throughout the Pomeranian Voivodeship
Example school prom decoration packages
A school prom usually brings several classes together, so our packages cover individual areas of the venue: the entrance, tables, photo backdrop and dance floor. We will adapt each area to the committee's chosen theme and the venue the school has already booked.
The ballroom
School prom venue decorations from the entrance to the stage: tables for students, parents and teachers in a single palette, bringing the whole ballroom together.
- Entrance decorations in the theme colours
- Matching arrangements on every table
- A distinctive table for teachers and school leaders
- Signs with class names on the tables
- Styling for the stage or DJ area
Best for: Committees who prefer to arrange decorations for the whole venue with one supplier.
Ask about this set: The ballroomA photo backdrop for class groups
A place for each class to take a group photograph and for couples and friends to have portraits in their formal outfits. We position the backdrop so that the queue for photos does not block the entrance or dance floor.
- A backdrop with the school name and final-exam year
- A balloon garland in the theme colours
- A wide setting that accommodates a whole class
- A sign with a slogan or the name of the ball's theme
- A second, smaller backdrop when there are many classes
Best for: Schools whose photographer takes class photographs, and students who want an attractive backdrop for phone photos.
Ask about this set: A photo backdrop for class groupsA theme for the ball
The committee chooses a theme, and we translate it into colours, flowers, balloons and signs throughout the venue. Gatsby, Hollywood, a Ball at Versailles or a Winter Ball: every theme starts with a palette that is easy to present on one sheet.
- A written colour palette and decoration description for the committee
- An entrance reflecting the theme, such as black and gold for Gatsby
- Flowers and table accessories that match the theme
- A photo backdrop with lettering in the spirit of the ball
- The stage and teachers' table in the same palette
Best for: Classes who have a theme in mind from the start and want to carry it from their invitations through the whole venue.
Ask about this set: A theme for the ballStyling for the polonaise
The polonaise is the moment everyone watches later in photographs and videos, so it is worth considering what appears behind the dancers. We decorate the edges of the dance floor and the backdrop, leaving the centre clear for the dance formations.
- Balloon or floral garlands beside the dance floor
- A backdrop on the wall that parents will capture when filming the polonaise
- Decorations along the route couples take onto the dance floor
- Nothing under the dancers' feet: decorations stay outside the dance floor
Best for: Parents and students who care about photographs and video of the polonaise, especially in a simply decorated venue.
Ask about this set: Styling for the polonaise
These sets are a starting point rather than a fixed price list: we tailor each one to your date, venue, colours and number of guests, and you can combine elements from different sets.
School prom themes and ideas
Gatsby in black and gold
The 1920s: black, gold, feathers and geometric patterns. Tall table arrangements and a backdrop with gold lettering suit this theme, and students can easily find outfits to match.
Hollywood
An entrance like a film premiere: a backdrop with lettering where every couple can have a photograph, and tables in black, white and red. This theme works especially well in large venues where the entrance needs one clear focal point.
A Ball at Versailles
Pastels, white and gold, abundant flowers and candles in tall candlesticks, if the venue permits them. This theme naturally complements the polonaise, as the dance itself evokes a ball from another era.
A Winter Ball
School proms take place in winter, making a winter theme a straightforward choice: white, silver, blue and green branches. It is a good option when the committee cannot agree, as the palette works with most venues and outfits.
Glamour with silver and mirrors
Silver, white and mirrored details, disco balls by the dance floor and foil balloons. A theme for classes who are looking forward to dancing until morning more than listening to speeches.
School colours
If the school has its own colours or crest, the theme can be simple: school colours on the tables, with the school name and final-exam year on the backdrop. This choice is easy for a committee to approve, and class photographs immediately show where and when they were taken.
How the prom committee chooses decorations
The committee first books the venue and date, then the decorator soon afterwards, as most school proms take place in January and February and those weekends start filling up in autumn. Next, it helps to agree a theme, an approximate decoration budget and who makes the final decision. With several classes, parents and students involved, discussions can easily stall, so ideally one person, or at most two, should contact us on behalf of the whole committee.
We will use this information to prepare a written proposal: the theme, palette, a decoration list for each area of the venue and a quote the committee can present at a parents' meeting or in a class group. If the budget is tight, we will indicate what can be left out without compromising photographs, such as wall decorations, while keeping the photo backdrop and dance-floor styling. Once the committee decides, we confirm the details with the venue and follow up before the ball with final questions, such as the confirmed number of tables.
What determines the cost of school prom decorations
The biggest factors are the size of the venue and number of tables, as every table needs its own arrangement and proms have many tables. Next come the areas chosen by the committee: decorating just the entrance and photo backdrop is a different scale of work from a whole venue with dance-floor and stage styling. The theme matters too, as some rely on balloons while others use flowers whose availability depends on the season.
The committee's quote needs to be clear, so we will break it down by area: entrance, tables, photo backdrop and dance floor. This makes it easier to calculate the cost per student and compare our proposal with other offers.

Frequently asked questions
How much do school prom decorations cost?
We quote individually for each venue and theme. The price mainly depends on the venue's size, the number of tables and the areas selected by the committee. Send us the date of the ball, venue name and approximate guest count, and we will reply with a proposal and quote within 24 hours.
When should we book school prom decorations?
Ideally, as soon as the venue is booked, and no later than autumn. School proms are concentrated in January and February, so weekend dates during that period fill up quickly.
Can you prepare a proposal for the prom committee?
Yes. You will receive a written theme, palette, decoration list and quote in a format that is easy to send to parents and students or present at a meeting.
Is travel to the venue charged extra?
Yes, travel is charged separately. We come from our studio in Gdańsk, including when a school hires a hotel venue in Kartuzy, Starogard Gdański or Lębork. We state travel costs in the initial offer alongside the decoration quote, so the committee knows the full amount before deciding.
Can we order only some of the prom decorations?
Yes. The committee can order just a photo backdrop and dance-floor styling, for example, and keep the venue's existing decorations elsewhere.
Will the decorations get in the way of the polonaise?
They should not, as we leave the dance floor clear and place decorations around its edges and in the background. Before we approve the design, it is worth checking the floor layout and space for formations with the person teaching the polonaise.
Do you also prepare New Year's Eve decorations?
Yes, we can decorate a New Year's Eve ball in a similar way to a school prom: the entrance, tables, photo backdrop and areas around the dance floor. Late December is a popular time for parties, so it is worth asking about New Year's Eve as early as possible.
