Author: Magdalena RabaWielki Dzień, a wedding decoration studio in the Tri-City

We will prepare event decorations for your company in Gdańsk, Sopot, Gdynia and across Pomerania: flowers for tables and the stage, scenic elements, balloons and a photo backdrop in your brand colours. We can work directly with you or as a subcontractor to the event agency organising the whole occasion.

  • A proposal and quote within 24 hours
  • Working with your company or as an agency subcontractor
  • Setup times agreed with you and the venue
  • Travel beyond the Tri-City, priced in the offer

Example event decoration packages

Four typical corporate events and what we can prepare for them. We will tailor the scale of the decorations to the venue and guest count, and the colours to your brand's visual identity.

  • A company gala or anniversary

An evening of dinner, speeches and awards, with plenty of photographs to remember it by. Flowers on the tables, the stage and the entrance share one palette, so the venue looks coordinated both in person and in event coverage.

    • Low arrangements on guest tables that allow easy conversation
    • Flowers and greenery by the stage, with a backdrop for speeches and award presentations
    • Decorations for the entrance and welcome table
    • A floral or balloon photo backdrop in your brand colours
    • An arrangement for the awards table or beside the anniversary cake

Best for: Companies celebrating an anniversary, looking back on the year or recognising employees and partners, for example in a hotel ballroom.

  • Conference styling

At a conference, decorations should give structure to the space while leaving the speakers in the spotlight. We place flowers where guests and cameras look: by the stage, lectern and reception desk.

    • Low arrangements along the stage that do not obscure the screen
    • Flowers for the lectern and panel table
    • Decorations for the reception and guest registration desk
    • Small arrangements for tables in the coffee-break area

Best for: Companies and agencies preparing a conference, congress or partner meeting at a hotel or conference centre.

  • A business opening

Decorations that can be seen from the street and photograph well at an opening. A balloon arch in your brand colours invites people inside, while flowers by the door welcome your first customers.

    • A balloon arch or garland in your brand colours at the entrance
    • Flowers in pots or vases on both sides of the door
    • Floral styling for the ribbon-cutting ceremony
    • An arrangement for the counter or bar
    • A balloon or floral photo backdrop inside the premises

Best for: Restaurants, cafés, shops and salons opening in a new location or reopening after refurbishment.

  • A staff picnic

An outdoor event for the team, often with their families: in a park, hotel garden or by the water. Wind and sun matter outdoors, so we use balloons and structures that can be securely weighted, and choose flowers that can withstand a day outside.

    • A balloon arch at the picnic entrance
    • Balloon garlands marking the stage, food area and children's corner
    • Flowers for tables in a marquee or under cover
    • A photo backdrop for employees and their families

Best for: Companies organising a picnic, family day or summer staff party, for example by a lake in Kashubia or at a seaside resort.

These sets are a starting point rather than a fixed price list: we tailor each one to your date, venue, colours and number of guests, and you can combine elements from different sets.

Decoration ideas for corporate events

  • Flowers where the cameras look

The stage appears most often in photographs from galas and conferences, so it is worth concentrating flowers there. Tall arrangements at the sides and low arrangements along the edge frame the speaker without hiding the screen or anyone's face.

  • An entrance that guides guests

In a large hotel with several function rooms, entrance decorations show guests they have found the right place. Flowers by the doors and on the welcome table, or a balloon arch in your brand colours, guide them from reception straight to your event.

  • Bouquets for award recipients and long-serving employees

When you present awards at a gala or thank employees for their years with the company, bouquets in the same palette as the venue decorations look good in stage photographs. We will prepare them to wait beside the stage, ready for presentation.

  • The company's age in balloons

For an anniversary, large balloon numbers showing the company's age work well beside the photo backdrop or entrance. Guests immediately know what you are celebrating, and anniversary photographs are easy to identify later in the company archive.

  • A seaside palette in Gdynia and Sopot

An event overlooking the bay suits a palette of navy, white and sand: white flowers, grasses and dried flowers instead of colourful bouquets. This theme is easy to combine with your brand colours if they include blue or neutral shades.

  • An outdoor event with a plan for wind

By the sea and the lakes of Kashubia, winds can be stronger than in the city, so balloons and structures need to be securely weighted and the lightest decorations kept under a marquee. It is also worth identifying a covered space from the outset where we can move the flowers if it starts to rain.

How we plan setup at the venue

At a hotel or conference centre, the room may only be available for a short time between events. We therefore agree setup and collection times in advance with you and the venue coordinator, so the work fits within that window.

Before setup, we need a few practical details: when the room becomes available, the route for bringing decorations in, whether there is a goods lift and where our vehicle can park. If an event agency is organising the occasion, we agree all of this with its coordinator, so that we, like the technical crew and caterers, have our own time to work in the room.

Your brand colours in the decorations

The best starting point is your brand guidelines or colour codes. We will match balloons from the available shades and choose flowers that make the corporate colour clear without overwhelming the space, ideally as an accent against white and greenery. Flowers do not have Pantone codes, and not every shade is available in every season. Where a colour needs to match exactly, ribbons, fabrics and candles can help.

If you have your own logo backdrop or roll-up banner, we can place flowers and greenery beside it in the same palette as the other decorations, bringing everything together in photographs. For strong, saturated brand colours, consider a quieter version that uses the corporate colour only in the details. At an elegant gala, this often works better than filling the entire room with the colours of the logo.

What determines the cost of event decorations

We price event decorations area by area: stage, entrance, reception, guest tables and coffee-break area. The more areas and the larger the structures, such as a stage backdrop or balloon arch, the more materials and on-site work are needed. Flowers are another factor: their varieties, quantity and how readily available they are in the season.

Logistics also matter: how much time the venue allows for setup and collection, and whether the event lasts one evening or several days with flowers needing to be refreshed. If your event budget is already approved, include it in the enquiry. We will suggest where to concentrate the decorations so they are seen where they matter most.

How we work

  1. Tell us what you are planning

The occasion, date, venue and approximate number of guests. A photo of the venue, garden or beach is very helpful.

  2. Proposal and quote

We will get back to you within 24 hours with a proposal and quote. Travel costs from Gdańsk are included in the quote from the start, so you know the full amount before booking.

  3. Refining the details

We work with you to choose colours, flowers, signs and accessories, so the set suits your venue and occasion.

  4. Decorating on site

We agree installation and removal times with you and the venue in advance, so that we do not get in the way of the event staff.

Frequently asked questions

How much do event decorations cost?

The price depends on the number of areas and tables, flower varieties, the size of the structures and the time the venue allows for setup. Send us the date, venue and number of attendees, and we will reply with a proposal and quote within 24 hours.

Are you an event agency?

No, we are a floristry and decoration studio in Gdańsk. We can work directly with your company or as a decoration subcontractor for an event agency organising an occasion in Gdańsk, the Tri-City or Pomerania.

Do you organise corporate events in Gdańsk?

We provide decorations rather than organising the entire event. You agree the programme, catering and technical services with the venue or agency, and we prepare flowers, scenic elements and balloons to suit that plan and schedule.

Can we hire event decorations from you?

We bring, install and collect structures, stands, vases and backdrops after the event, so you do not need to buy or store them. We choose flowers and accessories individually for each event and price them together with the rest of the decorations.

Can you prepare decorations for a multi-day conference?

Yes. We will choose flowers that stay fresh longer and agree with you when to refresh them between event days.

Is travel to the event charged separately?

Yes, travel is charged separately. We travel from our studio in Gdańsk across Pomerania, for example to a hotel in Jurata, a lakeside conference centre in Kashubia or the castle in Gniew. We state travel costs in the initial offer alongside the decoration quote, so you know the full amount before deciding.
